Staffing and Scheduling Coordinator - WSRH Rehab - Days

Location: WellSpan Surgery and Rehabilitation Hospital, York, PA
Schedule: Full Time

General Summary

Responsible for supervising all facets of daily operations for scheduling, staffing, and timekeeping in the Centralized staffing and scheduling office. Using information systems related to scheduling system operations, including the update and maintenance of data, downloads, backups, trouble shooting, and reports preparation and generation. In collaboration with workforce management and informatics, oversees and provides end user support, and assists with system upgrades and maintenance. Using information systems related to timekeeping and payroll, verifies time records for consistency and accuracy, clarifying inconsistencies with department supervisors/managers.

Duties and Responsibilities

Essential Functions:

  • Responsible for overseeing daily operations and supervising staff of the centralized Hospital staffing and scheduling office.
  • Responsible for daily operations of the use of the staffing and scheduling system(s), including maintenance of data, downloading data from other systems, performing data back ups, and trouble shooting problems. Resets groups and updates the scheduling system at established times each scheduling period.
  • Maintains a variety of data through the use of the staffing and scheduling system, such as new hire, transfer and termination data, qualifications, certification and licensure information. Monitors licensure to ensure licenses are current and follows up as needed with managers/directors.
  • Updates Workforce Management Informatics regarding unit staffing guidelines, interface, and/or system issues
  • Identifies and communicates staffing cycle dates and deadlines.
  • Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
  • Maintains appropriate records, reports, and files as required.
  • Maintains system processes from the department of nursing requests regarding timekeeping and payroll. Verifies time records for consistency and accuracy, clarifying inconsistencies with department supervisors/managers.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.

Common Expectations:

  • Participates in educational programs, in-service meetings and updates the Department of Nursing Leadership through attending meetings on an as needed basis to share information and processes regarding staffing and scheduling.
  • Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.
  • Maintains timekeeping operations using established policies and procedures, objectives, quality assessment and safety standards.
  • Orders office supplies as necessary for the Centralized Staffing and Scheduling office.

Qualifications

Minimum Education:

  • High School Diploma or GED Required
  • Associates Degree Preferred

Work Experience:

  • 1 year Technical Required
  • 2 years Supervisory Preferred

Courses and Training:

  • Staffing, scheduling system, and timekeeping training Upon Hire Required

Knowledge, Skills, and Abilities:

  • Excellent computer skills; Microsoft Outlook, Word, Excel.
  • Experience with Staffing and Scheduling Systems and the use of timekeeping systems is a plus.
  • Excellent supervisory skills, communication/interpersonal skills; analytical skills.
